1. Introduction

No Hate in WA State (“NHWS,” “we,” “us,” or “our”), a Washington State campaign committee, operates the No Hate in WA State Organizing Hub web application (the “Hub”) at nohatehub.org and associated subdomains. This Privacy Policy describes how we collect, use, disclose, and protect information obtained from users of the Hub (“you” or “users”).

By creating an account on the Hub, you consent to the data practices described in this policy. If you do not agree with this Privacy Policy, please do not register for or use the Hub.

2. Information We Collect

2.1 Information You Provide Directly

When you register for and use the Hub, we may collect:

  • Account Information: Name, email address, phone number, mailing address, county of residence, and organizational affiliation.
  • Profile Information: Profile photo, display name, biographical statement (“Why I defend Washington”), preferred volunteer activities, and accent color preferences.
  • Activity Data: Records of volunteer actions you log through the Hub, including social media shares, letters to the editor submissions, phone bank shift participation, canvass shift participation, training completion records, and other campaign-related actions.
  • Communications: Messages you send through the Hub, feedback you provide, and responses to surveys or prompts within the Hub.
  • Payment Information: If you make a donation through the Hub, payment information is processed by our third-party payment processor (currently ActBlue) and is subject to that processor's privacy policy. We do not store complete credit card numbers on our servers.

2.2 Information Collected Automatically

When you access the Hub, we may automatically collect:

  • Device and Browser Information: IP address, browser type and version, operating system, device type, and screen resolution.
  • Usage Information: Pages and features accessed, actions taken within the Hub, session duration, referring URLs, and interaction patterns.
  • Cookies and Similar Technologies: We use cookies and similar technologies to maintain session state, remember preferences, and analyze usage patterns. You can control cookie settings through your browser preferences.

3. How We Use Your Information

We use the information we collect for the following purposes:

  • Campaign Operations: To facilitate volunteer coordination, shift scheduling, team management, event organization, and campaign communication.
  • Personalization: To provide role-based dashboard experiences, personalized action recommendations, gamification features (including Action Points, badges, streaks, and leaderboard rankings), and customized content feeds.
  • Communication: To send you campaign updates, volunteer shift reminders, gamification notifications (streak alerts, challenge launches, badge earned), and other operational communications related to your participation.
  • Analytics and Improvement: To understand how the Hub is used, identify areas for improvement, measure the effectiveness of campaign activities, and develop new features.
  • Legal Compliance: To comply with applicable laws, regulations, and legal processes, including Washington State campaign finance disclosure requirements under RCW 42.17A.

4. How We Share Your Information

4.1 Within the Campaign

Your information may be shared with authorized NHWS staff, campaign leadership, and — where applicable — your canvass or phone bank team leads for purposes of campaign coordination. Team leads will only have access to information necessary for their coordination role.

4.2 Public Display Within the Hub

Certain information you provide may be visible to other Hub users, including: your display name, profile photo, featured badge, tier status, and — if you opt in — your position on the leaderboard and activity contributions to the campaign-wide metrics display. Your email address, phone number, mailing address, and other contact information are NEVER publicly displayed.

4.3 Campaign Finance Disclosure

Under Washington State law (RCW 42.17A), certain donor and contributor information may be subject to public disclosure requirements administered by the Public Disclosure Commission. If you make a financial contribution through the Hub, your name, address, occupation, employer, and contribution amount may be disclosed as required by law.

4.4 Service Providers

We may share information with third-party service providers who assist us in operating the Hub, including hosting providers, email service providers, analytics providers, and payment processors. These providers are contractually obligated to use your information only for the purpose of providing services to us and to maintain appropriate security measures.

4.5 Legal Requirements

We may disclose your information if required to do so by law, court order, subpoena, or other legal process, or if we believe in good faith that such disclosure is necessary to protect the rights, property, or safety of NHWS, our users, or the public.

4.6 No Sale of Personal Information

We do not sell, rent, or lease your personal information to third parties.

5. Data Security

We implement reasonable administrative, technical, and physical safeguards designed to protect your information from unauthorized access, disclosure, alteration, or destruction. These measures include encryption of data in transit (TLS/SSL), access controls limiting data access to authorized personnel, and regular security reviews.

However, no method of transmission over the internet or electronic storage is completely secure. We cannot guarantee absolute security of your information.

6. Data Retention

We retain your information for as long as your account is active and for a reasonable period thereafter for campaign record-keeping, legal compliance, and dispute resolution purposes. Following the conclusion of the November 2026 election and any applicable post-election legal proceedings, we will review retention needs and delete information that is no longer necessary, except as required by law.

7. Your Rights and Choices

  • Account Access and Correction: You may access and update your profile information at any time through your Hub account settings.
  • Communication Preferences: You may adjust your notification preferences within the Hub to control the types and frequency of communications you receive.
  • Account Deletion: You may request deletion of your account by contacting us at organize@nohateinwastate.org. Upon deletion, we will remove your personal information from active systems, except as required by law or necessary for legitimate campaign record-keeping purposes.
  • Cookies: You may control cookies through your browser settings. Disabling cookies may affect certain Hub features.

8. Children's Privacy

The Hub is not directed at individuals under the age of 13, and we do not knowingly collect personal information from children under 13. If we learn that we have collected personal information from a child under 13, we will take steps to delete such information promptly.

9. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by posting the updated policy on the Hub and updating the “Last Updated” date. Your continued use of the Hub after such changes constitutes your acceptance of the revised policy.
